An outdoor wedding needs an answer to one simple question: if the space cannot be used, where does everyone go? A tent or spare room is only part of the answer. The whole event needs a second plan.
Ask what is actually reserved
Waterfront and Rupakot advertise indoor and outdoor event spaces. Ask which covered space your booking includes and whether it is held for your event.
Do not assume a hall on the property will be free when you need it. Get the name of the reserved space in writing.
Draw the covered layout
Mark the ceremony area, family seats, guest seats and food service. Check that the guest count fits after the décor is added.
If the main mandap cannot fit inside, agree on a different design before the day. Ask your ceremony guide whether the new layout suits the family's needs.
Include the walking routes
Check the path from vehicles to the covered space and from there to the toilets. Ask where guests wait while any change is made.
Let the venue and production team check the floor, drainage and equipment arrangements. Do not make a safety decision about a wet cable or structure from a picture or general checklist.
Decide who makes the call
Choose a contact from the family and a lead from the venue or production team. Ask when the change must be decided to leave enough setup time.
List which items can move and which must already be ready indoors. Tell the kitchen and photographer how they will hear the decision.
DHM publishes seasonal outlooks and weather information. Use the relevant current updates as the date approaches. A seasonal outlook does not promise rain or sunshine at one venue on one day.
Avoid choosing a date on the claim that the mountains will certainly be visible or rain cannot happen.
Check the cost and guest message
Ask whether the covered arrangement changes the quotation. Record extra labour or materials if needed. Prepare a short message with the correct entrance for guests.
The useful backup is one everyone understands. Give the family, venue and suppliers a plan they can use, rather than leaving them to invent it when the weather changes.
