Request a walk from the entrance to the ceremony area, toilets and dining space. Ask to see steps, doors and the covered alternative. A short highlight video may look lovely but miss those details.
Send your questions before the visit so the person filming knows what to show. Ask the venue to confirm which spaces are included for your date.
Keep one shared decision page
List the venue, date, guest count, ceremony needs and main décor choices. Add the date of each decision. Put approved quotations and layouts beside the list.
Use one place for final choices. Messages across several family chats can leave suppliers with different versions of the same plan.
Be clear about approval and money
Tell suppliers who approves design changes and who handles payment. Ask for itemised quotations and written payment terms. Use the supplier's confirmed payment details.

Leave time after travel to meet the team, check clothing and review the venue if possible. If that is not possible, arrange a final video review with the local contact.

Walk through the whole wedding day with the family contact and main suppliers. Check arrivals, ceremony, meals, photographs and departure. Give each job a named person.
