When choosing a venue, picture the day through your grandparents' eyes. Where will they step out of the car? How long will they stand? Can they hear and see the ceremony from a comfortable seat? Ask them what would help rather than guessing.
Check the first walk
Walk from the vehicle stop to the ceremony area. Look for steps, steep paths and uneven ground. Ask the venue to show any easier route and check whether it will be open during the event.
A claim of “easy access” on a website is not enough for a particular guest's needs. See the actual route or ask for a clear video of it.
Choose the seats early
Ask where older relatives would like to sit. Some may want to be near the ceremony; others may prefer a quieter place. Keep enough space to reach and leave the seat easily.
If the family needs to move between the ceremony and meal areas, plan a seat in each place. Do not leave chairs to be found at the last minute.
Include toilets and a quiet place
Show the family helpers where the nearest guest toilet is. Check the path and steps. If a room or quiet corner is offered for a break, confirm that it is included and available.
Tell one family member about these arrangements so guests can ask someone they know.
Keep the meal plan clear
Let the kitchen know about any agreed food needs before the event. Ask how an older guest who does not want to queue will receive a meal.
Arrange water and a place to put a plate comfortably. These small details can matter more than extra decoration around the table.
Plan photographs and the trip home
Ask the photographer when the elders' group pictures will happen. Try to avoid repeated long waits or unnecessary trips onto a raised stage.
Choose a return vehicle and a person who checks the guests are ready to leave. Share the plan with the guests themselves, not only with another relative.
Older people do not all need the same help. Listen to each person, keep the choices respectful and build the day around the support they actually want.
