If the event also has recorded music or a sound team, tell both teams when each part is planned. Avoid separate people making changes without checking with the family contact.
Let the musicians and sound team advise on their own work. The family can explain what it wants, and the venue can explain its limits.
Ask before filming or sharing
Tell the ensemble if a video will be posted online. Ask how members want to be named or credited. A paid performance does not mean every use of a person's image has been discussed.
Keep one family contact for changes on the day. A clear route, realistic timing and respectful communication help the music fit the celebration the family has chosen.
