When a venue says a hall can hold a certain number of people, ask one more question: in which layout? Rows of chairs use space differently from dining tables. A wedding also needs room for the ceremony, food and people moving around.
Ask what the number means
Some venues list a separate limit for each seating style. Soaltee Westend Lakeside's official event page does this. Pokhara Grande lists maximum numbers for its named halls. Neither number should be treated as a promise that your full wedding plan will fit.
Give the manager your expected guest count and ask for the layout that goes with it. If the answer is only a number, ask to see a drawing.
Put the large items in first
Mark the mandap or stage, buffet, main doors and fixed pillars. Then add the seats. Leave clear routes to the toilets, exit and dining area.
Think about what happens at the same time. A room may feel easy during the ceremony but crowded when guests stand up for lunch. A photo queue can also take more space than the empty plan suggests.
Check the family area
List everyone who needs to be near the couple during the ceremony. Allow room for their seats and the items used. Ask your ceremony guide what space is needed rather than choosing a size from a picture.
Check where photographers can stand without blocking relatives' view. Do not count a walking route as extra seating space.
Walk through the plan
If possible, visit while the room is set up for a similar event. Otherwise, ask the team to mark the main areas on the floor during your visit.
Imagine a guest carrying a plate from the buffet to a seat. Imagine an elder reaching the toilet. If either route is awkward, change the layout before adding more decoration.
When the guest count grows
Tell the venue as soon as the number changes. Ask whether the current plan still works. Adding a few chairs is not always enough; meal service and the covered backup may need to change too.
Keep the approved drawing with your booking details. The useful number is the guest count that fits the agreed layout, not the largest number on a website.
