When the guest count changes, tell the teams early. More or fewer guests can affect meals, seats, transport and the layout. Adding chairs to a drawing does not update every part of the booking.
Keep one current list
Choose one family member to hold the latest guest count. Separate people expected at the ceremony, meal and any stay. Not everyone may attend every part.
If you are still unsure about some guests, say so. Give a confirmed count and a clearly marked estimate instead of presenting a guess as final.
Check the venue deadline
Ask when the meal number must be fixed and how changes after that date are handled. Read any minimum-charge or extra-meal terms in the written booking.
Tell the venue about the change in writing and ask for a reply. Keep that reply with the latest quotation.
Review the layout
Ask whether the ceremony and dining plan still fit. Check walkways, family seating and the food queue after the new chairs are added.
If you have a covered backup, check that layout too. The outdoor space fitting more guests does not mean the reserved indoor room does.
Update the décor work included
The main backdrop may stay the same, while table flowers or seating areas may change. Ask the décor team which quantities are affected.
Get any new total approved before extra items are ordered. Do not assume the same package price covers an unlimited number of tables.
Remember travel and rooms
Update the transport provider if arranged vehicles are being used. Check seats and pick-up points. If extra guests need rooms, ask about real availability before promising a stay.
Give the welcome contact the current list so they know which group is arriving and where it should go.
Send one final update
State the date of the update, counts for each event and the changes agreed. Send it to the venue, kitchen, planner and other teams affected.
Keep older versions clearly marked so nobody works from them by mistake. A short, shared update is easier than asking several relatives to pass the number along.
The guest count is a planning detail, not only a meal order. Keep the people, space and services in step as the list changes.
