Ask what the family needs
Agree the guest count and the parts of the ceremony with the people guiding it. Discuss the planned time with the parents and leave room for changes if needed.
Choose the people who will help. Keep the parents' contact role limited if they want someone else to handle venue or supplier calls.
Look at the home option
Check where guests sit and where food is served. Keep a quiet room available for the baby and parents if they want it. Decide which household areas remain private.
Think about toilets, water and clean-up. A small home gathering can still need help with serving and keeping guest routes clear.
Look at the hall option
Ask for a room that fits the gathering. Check the route from the car, the toilets and any quiet space offered. Confirm whether that extra room is actually included.
Ask the venue about the event hours, furniture and meal arrangement. A larger room is not automatically the more comfortable choice.
Keep décor away from busy areas
Choose a small photo area if that is all the family needs. Keep loose items, cables and stands away from guest movement and the space used by the baby.
Discuss the setup with the responsible team. Do not judge safety from a picture or bring extra props without checking where they will go.
Plan meals and photographs simply
Tell the kitchen when food should be ready and how guests will be served. Ask a relative to help elders or anyone who wants to avoid the queue.

Compare the whole plan: space, help, food, quiet time and cost. Keep the agreed details in writing with any suppliers.
